When hiring a coach for your special event, you will receive a written confirmation, either in the post, email or fax, which states the vehicle being hired, the dates and times of the hire contract and the prices quoted and to be paid.

While we encourage that you get written confirmation to ensure you do not miss out on the coach you picked out for your special day, the confirmation procedure is also there to protect the coach hire companies.

Confirmation is important for coach hire companies as during the course of describing their coaches and services, customers tend to hear what they want to hear or forget the details of what was decided. This is fine if they acknowledge that they weren’t paying attention when getting their quote, but most of the time they will only remember themselves asking for a twelve seater and forget that the coach hire company told them they only had a ten seater.

There are often mix ups this way with regards to the types of coaches hired as well, and if there is nothing in writing, everyone just gets extra angry and points fingers in all directions when they are supposed to be celebrating a special wedding or making their way to the cemetery.

The written confirmation should also state the payment method as the coach hire company often does several pick ups and drop offs, before the final drop off where payment is finalised. If the passenger is supposed to pay with credit card and says they ‘just have to get cash out’ many coach hire companies are faced with a no show passenger at the end of the night and no credit card details to charge to.

While written confirmation serves both the passenger and the chauffeur, it is also a good idea so that both can not only have the information for their records, but they can review the information and double check availability and requirements.
